Access and roles

Grant a role to a person or a team, enable a link, revoke access — and know who can do what.

Status: available updated 2026-10-28

What it gives

Managed access to a board: a role for a person, a team or the whole organisation, a public link with a password and an expiry, and revocation in one step.

When to use

  • Invite a colleague with edit permission.
  • Show the board to an external person without an account.
  • Close access after the project ends.
  • Transfer the board to another owner.

How it works

A role is granted on the board and is combined from sources: a direct grant, a team, the organisation. The strongest role applies. The capabilities of the role define what a person can do: read, edit, share, export, make a backup, run facilitation, manage the board, transfer it, delete it.

Example

Input: a board, a colleague without access. Action: Share → invite with the role Editor. Result: the colleague sees the board and can edit objects. A backup is available to them as an editor; PNG and PDF are available to the viewer role too.

What you can configure

  • the role of each grant;
  • enabling and disabling the link;
  • the link password and its expiry.

Limitations

  • A public link is view-only; export through it is forbidden.
  • The Editor role can share the board only if the organisation policy allows it.
  • A guest does not inherit organisation access: the guest receives personal access to the board.

Practical instructions

Public link, export, agents.
